This policy explains how personal information is handled when you use Zolva or when a property operator uses Zolva to manage your stay.
1. Who we are
Zolva is a software platform operated by DataSmart Technology ("we", "us"). Property operators use it to run short-term rental stays, including coordinating guest communication, cleaning, and access.
This policy explains what personal information we handle, why, and the choices you have. It applies to guests whose stay is coordinated through the platform, to property operators and their staff who use it, and to visitors of this website.
When we handle a guest’s information for a property operator, we do so on that operator’s instructions, and the operator is responsible for the booking relationship with the guest. For operator accounts and this website, we are responsible for the information.
2. Information we collect
We receive guest and booking details from the property operator, from the booking channel or property management system the operator connects (such as Hostaway), or directly from the guest. We do not store full payment card numbers.
- Guest details: name, mobile phone number, email address, and the number of people staying.
- Booking details: the property, dates of stay, booking channel and confirmation code, and the booking amounts reported by that channel.
- Messages: the text messages and emails sent to and from guests about a stay.
- Operator and staff account details: name, email address, role, and sign-in activity.
- Technical information: device and browser type, IP address, and pages visited, used to keep the service secure and working.
3. How we use information
We do not sell personal information and we do not use guest information for advertising.
- To confirm, update, and manage a booking, and to send guests the information they need about their stay.
- To coordinate cleaning and access for a stay.
- To answer guest and operator questions and provide support.
- To keep the platform secure, prevent misuse, and keep an audit record of actions taken.
- To meet legal obligations.
4. Text (SMS) messages
We send text messages to guests only about a stay they have booked: booking confirmations, changes and cancellations, arrival and readiness information, and replies to questions the guest sends us. We do not send promotional or marketing text messages. Door codes, PINs, and passwords are never sent by text message.
A guest gives us their mobile number when they book, and agrees to receive these messages as described in the SMS Messaging Terms in our Terms and Conditions. Message and data rates may apply. A guest can reply STOP at any time to stop receiving messages, or HELP for help.
Mobile phone numbers and text messaging consent are not shared with third parties or affiliates for marketing or promotional purposes.
6. Where information is stored
Our database is hosted in Canada (Montréal). Some processing by our hosting and messaging providers may take place in the United States. Where information is transferred outside Québec, we take steps to make sure it is protected to an appropriate standard.
7. How long we keep information
We keep personal information only as long as it is needed for the purposes above or required by law, and then delete or anonymize it. Property operators can ask us to delete a guest’s information at any time.
8. How we protect information
Access to information is limited by role and by property operator, so one operator cannot see another operator’s data. Data is encrypted in transit, and actions taken on the platform are recorded in a tamper-evident audit log. No system is perfectly secure, and we will notify affected people and the authorities where the law requires.
9. Your rights
Under Québec’s Act respecting the protection of personal information in the private sector (Law 25), Canada’s PIPEDA, and similar laws, you may have the right to access the personal information we hold about you, ask us to correct it, withdraw your consent, and ask us to delete it. To exercise these rights, contact us using the details below. We will respond within the time the law requires.
11. Children
The platform is not directed at children under 18, and we do not knowingly collect their personal information.
12. Changes to this policy
We may update this policy. The date at the top shows when it last changed, and we will make significant changes visible on this page.
